Afrisys ensures that the power of Microsoft Access can also be used and harnessed by the small and medium businesses and organisations that do not have the budgets to have super systems developed in Oracle or Microsoft SQL Server.

Access normally has more than sufficient power and ability to provide the smaller user with the right tools. Unfortunately, due to a lack of knowledge (on the side of the user) and a lack of enthusiasm (on the side of service providers) many potential Access users think that there is no solution except for Oracle or SQL Server and then discard the ideas they had. Afrisys wants to ensure that smaller users get the required tools to be as efficient as any larger company, by providing systems developed in Access that will provide the required information at the right time to make informed decisions.

One such project was the development of a system that will provide feedback on all donations for a charity organisation. Donations may vary and some donors disappear. When all the donations are captured and the donor information is readily available, then many different reports are available. It becomes possible to see how often or how infrequent a donor makes a contribution. Direct MailMerges with the data eliminates the need for a separate database. Banking detail and more is stored to keep track of debit orders. Thank you letters are created automatically when a receipt is created.

The adjacent image show the capturing screen for donations. This screen can also be customised to allow for different funds that an organisation may administer. The tank you letter is automatically created my the mere click of a mouse button. Obviously, the templates used to create the thank you letters is as simple as creating any letter or template within Microsoft Word. This means that the user can use pre-printed letterheads or create templates with letterheads and thus save even further. Click on the image to enlarge.

Below are the Personal Data and Debit Order Data forms. If need be these can be customised to suite a specific organisation. However, we try to make it more versatile to suite more users. An additional page is available to enter specific information that can not normally be captured in a database.
